Staff Accountant

This position works closely with the Business Manager to track and analyze the Institute’s revenues and expenses. The Staff Accountant prepares financial information and analysis for budgeting and planning, provides accurate and timely financial data and reporting to monitor funds and serves as a resource on accounting matters and travel and expense reports for faculty and staff. This position also enters faculty jobs, student jobs and graduate student stipends in the faculty and student employment systems. This position must combine strong accounting skills, communication abilities, ethical values, and initiative to organize and track data.

Accounting duties include:

  • Applies standard accounting principles and practices to ensure transparency and reliability of financial data and compliance with applicable regulations and guidelines
  • Monitors, consolidates, and reconciles Institute funds which include endowments, external grants, research grants, special projects, working groups, and individual and special purpose discretionary accounts
  • Maintains an internal accounting system of the Institute’s revenues and expenses by fund, activity and program
  • Maintains Institute financial records and filing system
  • Serves as an advisor on accounting policies for faculty and staff
  • Prepares, examines, and corrects all financial transactions for the Institute, including check requisitions, account transfers, deposits, travel advances, and payments for services (both employee and non-employee)
  • Prepares journal entries

Travel and expense monitoring and reporting duties include (but are not limited to): 

  • Audits procard expenditures and reports
  • Prepares travel expense reports (for certain faculty) and performs compliance reviews on travel and expense reports for all faculty, staff, students, and guests
  • Serves as an advisor to faculty and staff on the University’s travel and expense policy and expense reporting system

Financial Reporting Duties include:​​​​​​​

  • Works closely with the Business Manager to prepare monthly, bi-annual and annual financial reports on Institute’s overall revenues and expenditures while ensuring all transactions have been properly recorded in GLez
  • Provides monthly and quarterly reports to Program Managers as requested
  • Provides Business Manager with up to date financial information to be used for budgeting purposes

Other duties include: 

  • Enters faculty and student employment data into the faculty and student employment systems.
  • Enters graduate student stipends into the student employment systems and tracks payments
  • Approves hourly staff payroll in Ultratime system.
  • Provides other financial information and analysis as requested

Minimum Qualifications

  • Bachelor’s Degree (or higher) in accounting or related field.
  • Minimum of 2+ years of accounting experience
  • Knowledge of accounting standards and regulations for non-profit organizations
  • Proficiency in Microsoft Excel applications
  • Familiarity with office procedures and office computer equipment and technology
  • Strong organizational and communication skills, including the ability to convey financial information in a clear and understandable manner to non-accountants
  • Ability to analyze financial data and prepare financial reports
  • Ability to maintain strict confidentiality; work well in a team environment; establish and maintain effective working relationships with colleagues, faculty, administrators, staff, students, and the general public

Preferred Qualifications

  • CPA certification desired.
  • Advanced knowledge of Microsoft Excel desired.
  • Experience working in a non-profit or university setting is preferred.
