Benefits/Insurance

Juliana de Sousa Solis schedules orientation meetings for new visiting fellows with the Department of Human Resources of the University of Notre Dame. During orientation a human resource manager will assist you in completing the forms required to finalize your appointment and explain policies concerning health insurance, pay periods, information on federal and state taxes, etc. You must bring your US Social Security card, if you have one, and a passport or other official photo identification to the orientation meeting. Visiting fellows who enter the US on J-1 visas must also show proof of health insurance coverage or they will be required to purchase insurance through the University.

At the time of the orientation, you will be furnished with complete information regarding health and accident insurance benefits for which you may be eligible.Benefits summaries for visiting fellows (full-time visiting faculty) can be downloaded from the Human Resources website here. Visiting fellows will be offered medical insurance benefits. Although it is usually cost-effective and advantageous to do so, you are not required to purchase coverage under the ND plans if you are a US citizen or can show that you have other sufficient coverage in accordance with the required limits for J-1 visa holders. Information on the insurance plans available through the University can be found at http://hr.nd.edu/benefits/index_medical.shtml. (Visiting fellows generally select one of the HMO plans since it is unlikely that most people would meet the annual deductibles for the PPO plan during a short 4-1/2 month appointment.)

At the end of the benefits orientation meeting, you will be issued a faculty identification card which you need in order to use the library and athletic facilities, obtain a parking permit, etc.

Stipends

Fellows receive their stipend checks on a monthly basis. Fall semester appointees will receive their stipend in five equal payments at the end of August, September, October, November, and December. Spring semester appointees receive five payments: January, February, March, April, and May.

Non-US citizens who will be leaving the country may request that the final stipend check be issued before the date of departure rather than the end of the month. It is important that you notify Juliana of your departure date at least one month in advance in order to process such a request. This is an exception to University pay policy intended to accommodate foreign visitors who are returning to countries where it is difficult to handle US-generated payroll checks. US citizens and others who are not leaving the country must wait until the regular pay date to receive their final paychecks.

Tax Information

Federal and State taxes are usually withheld from Visiting Fellows’ stipends and, under certain conditions, Social Security taxes may be withheld as well. Some countries have tax treaties with the United States such that citizens of those countries are exempt from US taxes.
