Application for Occupancy

Visiting Fellows associated with the Kellogg Institute, at their option, may lease a furnished on-campus faculty apartment administered by the Notre Dame office of Business Operations. Accommodation in the apartments may sometimes be available for Guest Scholars. Leasing arrangements should be coordinated well in advance through Denise Wright (dwright1@nd.edu). One month’s rent is required to reserve an apartment. Checks should be made out to "University of Notre Dame" and mailed to Denise's attention. This deposit will be applied to the first month’s rent. In the event of a cancellation, Business Operations requires a 30-day notice or the deposit will be forfeited, in whole or in part (prorated based on the days less than 30).

University policy for apartment occupancy states that only Visiting faculty and their immediate families (spouse and/or children) may live in on-campus faculty apartments. Pets are not allowed. Guests or other non-immediate family members (in-laws, nieces/ nephews, etc.) may visit for brief stays only. Exceptions to this policy will be made only under extenuating circumstances and must be approved well in advance by the director of asset management, Office of Business Operations. Requests for exceptions due to special circumstances should be directed through Luis Canales, assistant director of the Institute.

Six, one-bedroom and four, two-bedroom units with living rooms, bathrooms, and kitchenettes are available. Two-bedroom units are reserved for visitors who come with families. One single-bedroom unit is equipped to serve physically disabled visitors. A one-bedroom apartment rents for $880 per month and a two-bedroom apartment for $1,100 per month (prices as of 2008) Please note that the above are estimated costs. As part of the visiting fellowship, the Institute subsidizes $250 of the monthly rent. There is no charge for cable television.

Apartment furnishings include pillows, bed linens, blankets, bedspreads, towels, dishes, cookware, and utensils. Each apartment is equipped with a television and kitchen appliances including a refrigerator, stove, oven, and microwave; some apartments have a dishwasher. Laundry facilities are available in the building.

International long distance service is not available in the Hesburgh residences. The Kellogg Institute will provide you with a $10 international calling card upon your arrival. Should you need additional cards, they can be purchased at area stores. Each apartment is Ethernet-wired for Internet connectivity. Please do not attempt to use a modem from the residences as the digital phone system may cause damage to your modem. The Kellogg Institute will supply Ethernet cards and cables for your laptop if needed.

All residents are required to sign a lease and an inventory inspection document at the time of occupancy. Upon arrival you are asked to call Apartment Manager Nancy Gillespie at 1-7643.

Initial Expenses and Fees upon Arrival at Kellogg

Upon arrival you will be required to pay the following expenses.

For all refunds, please allow at least 60 business days.

On-Campus Apartment Expenses

Security deposit ($400 for a one-bedroom or $500 for a two-bedroom apartment). It is refundable after a move-out inspection is done by the resident and the apartment manager, less any charges for cleaning or damages.

Processing fee ($25 non-refundable)

Kellogg Office Expenses

Deposit for long-distance telephone service ($100 refundable).

Offices, Supplies, and Keys

Normally, each Visiting Fellow is assigned an office that is equipped with the necessary office furnishings, including ample bookshelf space and a filing cabinet. Some offices may be shared space. Office space may also be assigned to Guest Scholars, depending on availability.

You will find start-up office supplies (pencils, pens, note pads, stationery, envelopes, stapler, etc.) in your office when you arrive. Further supplies for official Kellogg business will be provided upon request by Denise Wright. All other supplies are your responsibility. We do not provide packing and shipping materials or file folders for your filing cabinet.

Scissors, paper cutters, tape dispensers, etc., are available next to the copier on the second floor but may not be removed. (If you need any of these items in your office or home, you can purchase them at the Notre Dame bookstore.)

You will be given one key for your office. This key also opens the main doors of the Hesburgh Center.

Long-Distance Telephone Service in Hesburgh Center Offices

All visitors occupying offices are allowed up to $50 per billing period of long-distance office phone calls at no charge. Once this amount is spent, visitors will be charged accordingly for all calls above and beyond this sum.

Please note that it is Institute policy that each Visiting Fellow or Guest Scholar is required to pay a $100 deposit for long-distance service. Failure to pay this deposit upon occupancy of your office will lead to curtailment of long-distance telephone service. The $100 deposit will be reimbursed after the last billing. Any outstanding long-distance charges above the $50 per period limit will be deducted from the deposit refund.

Departure

When you have established the date of your departure, it is important to inform us as soon as possible, as various arrangements must be made.

  1. Please notify Juliana de Sousa Solis at least one month in advance of your departure.

  2. Be sure to give ample notice of departure to the management of your housing complex. At the end of your stay in on-campus faculty housing, a move-out inventory and inspection will be done by the resident and Apartment Manager Nancy Gillespie. Any damage and missing or broken items will be assessed and the cost of repair or replacement will be deducted from the security deposit.

  3. Please remember to return your office keys and leave forwarding addresses and telephone numbers with Denise Wright. There will be a charge of $25 for unreturned keys. Also, please return parking tags and gate cards to Denise Wright. Failure to return an A-3 parking tag will result in forfeiture of the $50 deposit.

  4. Please keep us (Kellogg Institute main office) on your list of people to notify in the future whenever you change your address, telephone, fax, or e-mail.
